Activity Bookings

Scuba‘s Activity Bookings module replaces the need for manual booking sheets and ensures that bookings can be taken quickly and easily while also providing vast reporting capabilities as a by product of each transaction.  Using touchscreen technology means that bookings and payments can be taken rapidly ensuring a faster throughput at the Point of Sale and customer care is optimised.  Difficulties, which can occur with manual booking sheets, such as limited user information and double bookings, are eradicated.

Bespoke Flexible Configuration

Each bookable area, whether a series of courts or an individual room, is designed pictorially to your specification.  If your facility has areas that differ in content on certain days, such as a Dance Studio with classes that start at various times on different days or halls that open and close earlier at weekends than during the week – then Scuba is TOTALLY flexible to meet those needs.  Your facility can have different screens for everyday of the week and these will be AUTOMATICALLY generated everyday for your advanced booking period.

Each bookable area and activity booking will reflect pricing policies, members/non-members access and privileges and enables Point of Sale staff to serve customers quickly and efficiently.  Once the activity is selected and the customer’s membership card swiped the user’s photograph appears to certify the user.  Then, depending on the customer’s membership privileges, they can either pay immediately (by cash, cheque, creditdebit card with integrated Chip and Pin technology, loyalty points, credit note, voucher or complimentary) or ‘credit’ the booking and pay at the time of use.

Membership Sales

The sale of memberships is one of your most important income streams and a good user database is a valuable management tool, allowing you to analyse a wide range of information about your users, and produce reports to help when developing activity programmes as well as when planning target marketing campaigns.

As membership category creation is so flexible it is important to ensure that selling the membership is a straightforward process too.  Scuba‘s Membership Sales module effortlessly steers the operator through a series of simple windows culminating in the creation of the membership number, receipt and, if necessary, a membership card.

Scuba‘s Snapshot image capture routine is integrated into the Membership Sales module allowing Point of Sale staff to capture the member’s ‘snapshot’ during either membership creation, renewal, or, in the event of the Point of Sale being too busy, the user’s next visit to the facility.  Either way the simple image capture process, and possibly the creation of a membership card, increases access security and can prevent fraud.  Once attached to the user’s record their picture will pop up on each visit to the facility for extra security.

Membership cards can be created (user details and picture printed and card encoded onto pre-printed site specific or corporate card) via the card printer routine.  Alternatively cards can be pre-printed, pre-numbered and pre-encoded and can then be given out as that membership number is generated.

Chip and Pin

All Scuba‘s payment modules can be integrated with a Chip and Pin solution allowing your staff to accept payments by credit debit card without the need to re-swipe cards through a separate PDQ machine – thus providing a speedier service to the customer.

The swipe keyboard at the Point of Sale accepts both membership and credit debit cards so the only additional piece of hardware required is a small pin pad on the Reception Desk.  In conjunction with our software partner, Verifone, a user defined ‘local floor limit’ can be set so that transactions under this value are authorised locally, with higher value transactions being authorised by an automated call to the relevant acquirer.

Access Control

From allowing access to your facility via a swipe reader mounted on a turnstile (installed by our installation partners ITAB UK) in Reception, to a proximity reader and keypad unit mounted on the door of the Fitness Suite, the Sentinel access control module copes with all your access requirements.  Sentinel has a multitude of user configurable entry conditions available by user category type, time of day, gender, paid or not paid with visit duration and pass back delay also configurable.  For added security the user’s name, details, image and memo information pops up on a predetermined computer screen.

Direct Debit or fully paid members can fast track through the turnstile at Reception to the Fitness Suite and gain entry by swiping their membership card through the swipe reader at the access control point, thus reducing the queues at Reception and improving service levels to pre-paying customers!  ‘Casual’, gym inducted, users are required to pay before access is granted.  Non members are not forgotten and temporary access codes can be printed on their tickets so that they can use the keypad part of the swipe reader, at the access control points.  Consideration is also given to ‘sensitive’ areas such as access to changing rooms where the user’s gender and age can be checked prior to access being allowed.

Each entry is processed (in terms of statistics and specific user visits) with the user’s visit able to be analysed to allow you to identify, for example, your top 20 users for each access controlled area and email your top, non Direct Debit users, offering them the option of joining the Direct Debit scheme.

Internet Bookings

Our e-bookings solution is a browser based e-government compliant ‘real time’ internet activity booking module allowing users to book (and pay if required with a direct link to your chosen payment portal) ‘online’ any time of day or night (this availability is configured by you) and enhancing your service provision. The Class Bookings option (Body Combat, Step Aerobics etc), which are often heavily subscribed, will enable users to book classes inter-actively.

The flexible configuration routine allows you to dictate which activities are available on-line, limit the number of bookings a user can make in a single transaction, as well as the amount of time a court / space is locked (i.e. in the ‘shopping basket’) before it is automatically deleted.

Users are initially requested to either ‘sign in’ or ‘register’ so that their membership type can be determined, allowing the booking ranges and activity prices to be determined in the same way as the Point of Sale activity booking module.

Analysis of the ‘online’ activity booking trends is simple allowing you to make informed marketing decisions and alter the activity configuration accordingly.

Membership Registration & Renewals Sales are also available on-line together with the provision of on-line sports courses and payments to enable you to further enhance your flexible service.
